However, a lot of their time is spent context switching, hunting down information, and responding to every message that comes their way,&nbsp;rather than moving the needle on important projects and tasks.<\/p>\n\n\n\n<p>Fortunately, teams can learn how to better manage their time, and the solutions don\u2019t require a huge amount of time or effort. Below, we lay out eight dos and don\u2019ts of time management to help <a href=\"https:\/\/golinks.com\/blog\/productivity-problems\/\" target=\"_blank\" rel=\"noreferrer noopener\">boost your team\u2019s efficiency and productivity<\/a> \u2014 no time tracking required!<\/p>\n\n\n\n<div style=\"height:50px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-the-dos-and-don-ts-of-time-management\">The <em>do<\/em>s and <em>don\u2019t<\/em>s of time management<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-don-t-context-switch\"><em>Don\u2019t<\/em> context switch<\/h3>\n\n\n\n<p>Today, the average company has <a href=\"https:\/\/www.statista.com\/statistics\/1233538\/average-number-saas-apps-yearly\/\" target=\"_blank\" rel=\"noreferrer noopener\">110 apps<\/a> within its tech stack. According to a 2021 study, the average employee reports spending a total of <a href=\"https:\/\/assets.qatalog.com\/language.work\/qatalog-2021-workgeist-report.pdf\" target=\"_blank\" rel=\"noreferrer noopener\">36 minutes a day<\/a> switching between applications. And every time they switch between tasks or tools, it takes them <a href=\"https:\/\/assets.qatalog.com\/language.work\/qatalog-2021-workgeist-report.pdf\" target=\"_blank\" rel=\"noreferrer noopener\">close to 10 minutes<\/a> to actually sink back into their workflow. All of that context switching adds up to both lost productivity and exhausted employees.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-do-intuitively-task-block\"><em>Do<\/em> intuitively task block<\/h3>\n\n\n\n<p>To combat context switching, build a schedule that allows you to <a href=\"https:\/\/golinks.com\/blog\/tips-for-working-away-from-home\/?_ga=2.176536421.1758146615.1695227298-822119622.1695227297#:~:text=Tip%202.%20Intuitively%20task%20block%C2%A0\" target=\"_blank\" rel=\"noreferrer noopener\">focus on one task at a time<\/a>. For instance, rather than checking your inbox repeatedly throughout the work day, set aside 20 minutes at the start and end of your day to catch up on emails \u2014&nbsp;and then turn off email notifications the rest of the time. <\/p>\n\n\n\n<p>If you know that you have three critical tasks to complete for the rest of the day, block out time in your calendar to focus on each. Turn off notifications and try to stay focused on the task at hand during that time.<\/p>\n\n\n\n<p>If you struggle to focus (it\u2019s not just you \u2014 it\u2019s <a href=\"https:\/\/www.cnn.com\/2023\/01\/11\/health\/short-attention-span-wellness\/index.html\" target=\"_blank\" rel=\"noreferrer noopener\">a global phenomenon<\/a>), consider using <a href=\"https:\/\/www.themuse.com\/advice\/take-it-from-someone-who-hates-productivity-hacksthe-pomodoro-technique-actually-works\" target=\"_blank\" rel=\"noreferrer noopener\">the Pomodoro technique<\/a>: set a timer for 25 minutes and focus solely on <em>one<\/em> task during that time. When the timer goes off, take a five-minute break. Then reset your timer for another 25 minutes and get back to work.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-don-t-waste-time-searching-for-information\"><em>Don\u2019t<\/em> waste time searching for information<\/h3>\n\n\n\n<p>When company data is spread out over 100 apps, it can be tough for employees to remember where to find the information they need. Set realistic standards, and focus on progress over perfection.<\/p>\n\n\n\n<p>It can also help to have these deadlines available to your wider team: use a shared project management tool (like Asana, Trello, Notion, or Todoist), and make sure your team uses it to track tasks and goals that are specific, measurable, achievable, relevant, and time-bound. This makes it easy to visualize your tasks and measure your productivity.<\/p>\n\n\n\n<p>Keep in mind that it\u2019s okay to make mistakes and learn from them. If you lead a team, make sure that your team members understand the same philosophy \u2014&nbsp;and that they can see you modeling it every day.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-don-t-be-available-24-7\"><em>Don\u2019t<\/em> be available 24\/7<\/h3>\n\n\n\n<p>While many of us equate responsivity with productivity, the truth is that if you\u2019re constantly answering emails and Slack messages, you have less time to focus on deep work.<\/p>\n\n\n\n<p>As Peter Thaleikis, a software developer at <a href=\"https:\/\/bringyourownideas.com\/\" target=\"_blank\" rel=\"noreferrer noopener\">Bring Your Own Ideas<\/a>, explains:<\/p>\n\n\n\n<p><em>\u201cThe most common interruptions turn out to be those which should drive your productivity: email and chat applications. Both are demanding attention right when you should be focused and productive.
